When a manager leaves and a new manager takes their place there are a few things that need to be updated in CoursEval.  This is also a great time to do some clean up of old and outdated information in the system.  Here is a list of things to update and review:

  • Contact CoursEval Support to added to the Support Center and Client Management System
  • Set up training with CoursEval Support, if needed
  • Change the manager e-mail address in CoursEval
    • Set Up - Mail Server Settings - Update the reply to address
    • Survey - Survey Site Set Up - Update the contact name and email address
    • Survey - Group Email Templates - Update the contact name, email address, and any signatures in the body of the email message
  • Review Questions and Response Sets
    • Archive old/un-used questions
    • Add any additional new questions
    • Archive old/un-used response sets
    • Adding custom questions (course based, course type based, department added, and faculty added)
  • Review e-mail templates
    • Delete all unused group e-mail templates
    • Update the language and information in the templates
  • Review report options, defaults and settings on reports
  • Review Department and School Administrators
    • Assigning the correct chairs to the correct departments/ removing incorrect ones (Export/Import)
    • Making sure that the chairs faculty records are set up correctly
    • Checking the Results Access on Surveys to make sure chairs have the correct access
  • Review Department Set Up
    • Department clean up  (delete empty ones, consolidate duplicates, add/clean up department chairs)
  • Things to think about
    • If the school has multiple surveys, think about consolidating to one survey using custom dates and custom questions (course based, course type based, department, and faculty added)
    • Run database maintenance (deactivate old accounts how far back)
    • When is the next survey going out?  
    • When will the data be ready for import?
    • Does the school have external authentication available to be used in CoursEval? (LDAP, CAS, Shibboleth)
  • Review new features
