Do you have a need to edit a comment made by a participant? We do not promote the editing of participants' comments as these are valuable qualitative data. We do, however, see the value in editing or removing comment language that is derogatory or crude in nature. Course Evaluations permits only the system Manager the ability to edit text responses, it is only recommended that this be done in cases where it is absolutely necessary, as determined by the policies of your institution.
The ability to edit comments is available to the Course Evaluations Manager. The option is available in the Evaluation Report Options: Show links to edit text responses. This option allows the authorized user to edit comments made by participants, typically, to remove inappropriate responses. If a comment is edited, the comment is tagged in a footnote with a date, time, and user stamp that appears with the comment. The original comment is saved in the database and can be restored at any time.
If the institution uses the Course Section Report or Individual Report for instructors, comments must still be edited using the Evaluation Report steps below. Comment edits will be applied across all reports.
To edit a comment:
Go to the Evaluation Report Options
Select the option: Show links to edit text response
Click view report
Scroll to the comment in question
Click on the edit icon next to the comment
Enter a reason for editing the response
Edit the response and 'save'
The response will now appear with the date/time stamp indicating the edit. Click the edit icon again to view the original and to revert the changes if necessary.
