Extract data for Course Evaluations upload into csv (excel) files:
  • Faculty information (administrators will be included in this file)
  • File Format: name, username, password, e-mail, department
  • Student information
  • File Format: name, username, password, e-mail
  • Courses to be evaluated by term
  • File Format: course #, section, name, department, period, faculty identifier
  • Enrollment in courses:
  • Students
  • Additional faculty –team taught courses (Participating Faculty/Teaching Assistants/Custom roles)
  • Course Administrator (viewing rights for specific courses)
    File Format: course #, section, period, and person identifier (Student/Faculty)

Import csv files into Course Evaluations system in the following order:
  • Faculty/Administrators
  • Student
  • TA (if applicable)
  • Course
  • Enrollment(s) (Faculty, Student, TA, Course Administrator)
Enrollment imports may need to be re-run before the survey opens for accuracy


Fix any errors from the data load and re-import as necessary

< 2-4 weeks


Course Evaluations training for system administration by Campus Labs (if applicable)

After import


Develop and finalize online evaluation (if applicable)

Mid term


Setup/configure Course Evaluations system
  • Assign department, course, and school administrators
  • Enter the online survey into the ‘Question Manager’ (if applicable)
  • Enter any new questions to be used for the survey for existing questionnaires (if applicable)
  • Create the survey in the ‘Survey List’ Screen
  • Construct introductory, reminder, and results release emails to both faculty and students, as well as create narratives to Presidents, Provosts and Deans.
  • Always preview surveys before they are released to proofread for typos and errors
  • Review Survey(s) and e-mails with your Course Evaluations support specialist

< 2-4 weeks *Note*Surveys can be created anytime after imports have been run.


Develop the release schedule for all email messages

Mid term


Configure spam blocker to allow Course Evaluations messages (white list address)

Early in term


Final approval of Course Evaluations email messages and online survey by Dean or Provost

Schedule and enter open and close dates for the evaluation

Schedule and enter group e-mails to be sent to faculty, administrators, and students

Choose date for release of online data for analysis
