The Group Email Templates are designed to give the Course Evaluations Manager a place to create a 'Template' messages that can be used repeatedly. This function allows the CE Manager to customize the appearance and content of the message.
To Add a New Group Email Template
- Select 'Add New' from the list screen.
- Select a 'Message Category' from the drop-down menu.
- Message Categories include:
- General Announcement
- Invitation to Add Questions
- Login Information
- Results Invitation
- Survey Announcement
- Survey Reminder
- Enter the 'Message List Name'. This is the name that will appear in the default list to the manager.
- Pick the 'From Email Address', from the drop-down option.
NOTE: Use no-reply@courseval.net if hosted with Course Evaluations, in most cases. This email address is secure and should have been white-listed at your institution. - Enter the 'From Friendly Name'. This is the name that will appear in the from field.
- Enter the 'Reply To Address', if it is different from the sender's e-mail address.
- Enter the 'Reply To Friendly Name'. This is the name that will appear in the reply to field.
- Enter the 'Email Subject'.
- Select the left and right 'Header Graphic' from the drop-down menus.
- Enter the 'Message Content' and 'Insert Merge Fields' (if needed).
- Select the 'Image Options':
- Default - Shows the Course Evaluations logo in the footer of the message.
- Include School Logo - Shows the school logo at the top of the message.
- No Images - Removes all images from the e-mail.
- Select the 'Display Options':
- To include login information in the message, check this option and the message will contain the recipient's User Name, Password, and the URL to the Survey Site.
- To link HTML images in message instead of embedding them, check this option if many recipients are likely to use a web browser to read their email.
- To send messages with a "High Priority" indicator, check this option and the message will be shown with a high priority indicator in the user's email client when they are received.
- Click 'Add.'
